Terms of Service

These terms govern your use of Trade Copilot, operated by [FlowPilot UK legal entity name] (“we”, “us”). By creating an account or using the service, you agree to them. If you don’t agree, don’t use the service.

The service

Trade Copilot helps tradespeople capture job details, generate AI-assisted estimates, produce branded quotes, and collect customer enquiries through a shareable chat link.

Accounts

  • You must be 18 or over and using the service for a business.
  • You're responsible for keeping access to your sign-in email secure — sign-in is by magic link to that address.
  • You must give accurate account and business information and keep it up to date.

Your responsibilities

  • Quotes are yours. Estimates are AI-assisted suggestions to help you. You are solely responsible for reviewing, correcting and approving every quote before you send it. We are not a party to any contract between you and your customers.
  • Your customers’ data. When you use the tools to collect information about your customers, you are the data controller for that information. You must have a lawful basis to collect it and a privacy notice of your own. See our Privacy Policy for how we process it on your behalf.
  • Acceptable use. Don’t use the service unlawfully, to upload content you have no right to, to attempt to break or overload it, or to process special-category data you have no basis for.

AI-generated content

Estimates, briefs and other AI-generated output are produced automatically and may be inaccurate or incomplete. They are provided “as is” and are not professional, legal, structural or pricing advice. You must independently verify materials, quantities, prices and labour before relying on or sending any quote. We are not liable for losses arising from uncorrected AI output.

Fees

[Billing not yet live. When subscriptions launch, set out here: the plan, price, billing cycle, any free trial, renewal and cancellation terms, and that fees are non-refundable except as required by law.]

Intellectual property

We own the Trade Copilot platform and its software. You keep ownership of the content you put in (your notes, photos, customer data and the quotes you produce). You grant us the limited licence needed to host and process that content to provide the service.

Availability

We aim to keep the service running but provide it “as is” and “as available”, without warranties of uninterrupted or error-free operation. We may change, suspend or withdraw features.

Limitation of liability

Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or fraud). Subject to that, we are not liable for loss of profit, loss of business, or indirect or consequential loss; and our total liability to you in any 12-month period is limited to the fees you paid us in that period [confirm cap once pricing is set].

Termination

You can stop using the service and close your account at any time. We may suspend or terminate access if you breach these terms or use the service in a way that risks harm to others or to the service.

Changes

We may update these terms; we’ll change the “last updated” date and, for material changes, notify account holders.

Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
